01

Does the process have a clear rule?

If each person makes a different decision, it’s first necessary to agree on a common criterion. Write down what initiates the process, what steps should follow, and what result should be achieved.

02

How often does it recur?

Record the frequency with which it occurs and the effort it requires. A common and well-defined task allows for a clearer evaluation of its benefits compared to a complex exception.

03

Are the data available?

Identify its origin, quality, and permissions. Automating an incomplete entry can multiply errors across all connected systems.

04

What happens when something goes wrong?

Define who receives an alert, what information they need to resolve it, and how the work is picked up again. A workflow that isn't yet recovered is not ready for operation.

05

Who will be responsible afterward?

Assign a person who can review the functionality, update the rules, and maintain the documentation. Technical implementation is just one part of the adoption process.
